What Top Event Agencies Do Differently to Retain & Grow Clients

Growth isn’t about doing more – it’s about having more time to do what you do best.

In a fast-paced industry, growth can mean many different things. It might be winning new clients, increasing event value or expanding your team. But sustainable growth also relies on continuing to deliver the same level of service and expertise to the clients you already have.

At EDGE, we work alongside M&E agencies every day, giving us a unique view of the challenges and opportunities shaping the industry. While every agency works differently, there are some common themes we consistently see when it comes to creating value for clients and building the capacity to grow.

Speed matters, but value matters too

In venue finding, responsiveness is important. Whether you’re the client, agent or venue responding to an enquiry, nobody wants to be left waiting.

But speed alone isn’t necessarily what creates a great client experience. The real difference can come from making each response useful, relevant and easy to act on.

Availability, capacities, imagery, location and costs are all essential. But alongside the practical information is where an agent’s expertise really adds value is making recommendations, sharing insight and helping the client understand which options are likely to deliver the best outcome for their event.

When less choice can mean more confidence

More options don’t always create a better decision.

In fact, one of the things we see regularly is the value of a carefully curated selection. Rather than presenting every possible venue, agencies can use their knowledge and understanding of the brief to narrow the options down to those that genuinely feel right.

On average, RFPs submitted on EDGE include just four venues. Compared with some legacy processes where a client could receive up to 30 options, a more focused selection can make the decision-making process feel simpler and more manageable.

The right technology and filtering tools can support this process, helping agencies quickly identify suitable venues while keeping the final choice relevant and purposeful.

The value of bringing the options to life

Finding venues that meet the brief is one part of the process. The real value often comes from the expertise an agent brings when helping a client understand why certain options could work particularly well.

A venue may tick every box on paper, but experience can add the context that technology alone cannot.

Perhaps a particular layout will encourage better networking. Maybe the location will make logistics easier. Or perhaps the venue team is known for being particularly flexible when it comes to tailoring packages around an event.

It is this knowledge and understanding that helps bring venue options to life. It can turn a list of suitable spaces into a confident recommendation and help clients see how the event could actually work.

Looking beyond price alone

Price will always be an important part of the conversation. But increasingly, value is about much more than finding the lowest cost.

EDGE has seen a 10% increase in average event value year to date. This reflects a wider shift towards creating events that deliver a stronger overall experience.

As venues become more flexible and work with buyers to create more bespoke events, there is an opportunity to think differently about where budget is invested. Experiential additions, meaningful touches and elements that genuinely improve the delegate experience can often create greater perceived value than simply reducing the cost.

The question is not always, “How can we make this cheaper?” but sometimes, “How can we make this better?”

Creating more time for what matters most

Of course, delivering this level of value takes time.

That’s where technology can play an important role not by replacing expertise, relationships or experience, but by supporting the processes around them.

The right technology can take care of repetitive tasks, reduce manual admin and make information easier to access. This gives agents more time to focus on the areas where they make the greatest difference, understanding clients, sharing their expertise and creating memorable event experiences.

At EDGE, that’s exactly how we’ve designed our platform. To support the process behind venue finding and give agencies more time to focus on the value they bring.

Because technology can make the process more efficient, but it can’t replace the relationships, experience and human understanding at the heart of our industry.

Great events start with the right connections.

The right technology should support you in doing that.
